Purpose

Applications powered by generative artificial intelligence (Generative AI), like chatbots (e.g., ChatGPT, Google’s Bard, Microsoft Bing) and image generators (e.g., DALL-E 2, Midjourney), are popular and powerful tools. While they offer opportunities to enhance efficiency, they also pose significant risks related to security, accuracy, and intellectual property. This policy outlines these unique concerns, provides guidelines for acceptable use, and safeguards confidential information, trade secrets, intellectual property, workplace culture, commitment to diversity, and brand.

Scope

This policy governs the use of any third-party or publicly available Generative AI tools, including ChatGPT, Google Bard, DALL-E, Midjourney, and similar applications that simulate human intelligence to generate responses, work products, or perform tasks. (It excludes other Generative AI or AI tools formally approved or installed for use by the Company.)

Guidelines

DO:

• Recognize that while Generative AI tools can be helpful, they are not substitutes for human judgment and creativity.
• Be aware that Generative AI tools may produce incorrect or outdated information ("hallucinations"), so all outputs must be verified by a human.
• Treat all information provided to a Generative AI tool as potentially public and attributable to the user or the Company, regardless of tool settings or creator assurances.
• Inform your supervisor when using a Generative AI tool to assist in tasks.
• Verify the accuracy, appropriateness, lack of bias, and compliance with Company policies and laws of any response relied upon from a Generative AI tool.

DO NOT:

• Use Generative AI tools for making employment decisions regarding applicants or employees, including hiring, promotions, or terminations.
• Input any confidential, proprietary, or sensitive information into Generative AI tools, such as passwords, health information, personnel data, or documents marked as Confidential, Sensitive, or Proprietary.
• Input personal information about any individual into Generative AI tools.
